The Role

As a Billing Specialist (Contract) at Wheel, you'll be an integral part of our team, supporting our billing operations and ensuring accurate and timely invoicing for our clients. Reporting directly to the Senior Accounting Manager, you’ll play a key role in managing various operational and technical work streams. This role is ideal for someone with a keen eye for detail and a passion for optimizing billing processes.

Location: Remote (USA)
Employment Type: Full-time, Part-time (10-15 hours per week)
Hourly Pay: $25 - $35
Preferred Time Zone: Central Time Zone (Austin, TX preferred), but Eastern Time Zone applicants are also considered.

Responsibilities

  • Full-cycle Billing: Handle all aspects of the billing process, including preparing, reviewing, and processing client invoices.
  • Client Invoicing: Collaborate with Operations Leads and the Senior Accountant to understand client-specific billing needs and ensure invoices are accurate and sent out on time.
  • Clinician Pay Tracking: Manage and reconcile clinician pay data to ensure all payments are accurate.
  • Payment Tracking: Use Stripe to oversee payment tracking, reporting, and reconciliation, ensuring timely collections and resolving discrepancies when they arise.
  • Process Improvement: Proactively identify ways to streamline the billing process to improve collections and accuracy.
  • Month-End Close Support: Assist in the month-end close process, working closely with the Senior Accountant on reconciliations and journal entries.
  • Client Service: Provide prompt, professional service to both clients and internal teams by addressing inquiries and resolving any issues.
  • Report Generation: Run reports, analyze data, and prepare billing reports for clients.
  • Backup Support: Be prepared to step in as a backup for the Senior Accounting Manager and Senior Accountant when necessary, ensuring deadlines are consistently met.
  • Compliance: Assist in compliance audits and ensure that all billing processes align with company and regulatory standards.

Who You Are

  • Education: Bachelor’s or Associate’s degree in Accounting, Finance, or a related field (preferred).
  • Experience: At least 2 years of experience in billing, accounts receivable, or payments.
  • Proficiency: Experience working with Stripe for payment management and reconciliations. Familiarity with NetSuite and Tipalti is a bonus.
  • Skills: Strong understanding of accounting principles, excellent communication skills, and high attention to detail. You're organized, analytical, and able to work well under pressure.
  • Tech Savvy: Advanced knowledge of Google Workspace and Excel (including pivot tables, formulas, and data analysis) is essential.
  • Self-Starter: You’re independent, self-motivated, and comfortable managing multiple tasks at once, even in a fast-paced environment.
